Every message, call log, request, expense entry and check-in on AppClose is time-stamped and encrypted when it is created, and no user can alter or delete it. These records give attorneys an objective account of what co‑parents actually communicated and help resolve disputes faster and at lower cost. Whether a record is admitted, and what foundation must be laid, is decided by the court.

Any U.S. user can generate a Certified Electronic Business Records export on the AppClose website, in minutes and at no charge, for the record types and dates they choose. The PDF carries a business-records certification by AppClose’s Custodian of Records and a unique Export ID. Your client can send you the file or its link, or approve your access in AppClose Pro using its Export ID. Call recordings and transcripts are never part of an export; the people on the call can download them in the app and give them to you.

AppClose also provides records with a Business Records Affidavit in response to a proper subpoena or court order, at no charge. In brief: we accept subpoenas served under the Texas Rules of Civil Procedure (out-of-state subpoenas through the Travis County district clerk under Rule 201.3 / UIDDA) and, in our discretion, subpoenas e-mailed to legal@appclose.com — e-mail alone is not service. An e-mailed civil subpoena must include a HIPAA authorization signed by the requesting co‑parent for themselves and each child (the Texas Attorney General form is in the policy). Identify the account by its e-mail address, and list the record types and dates you need. Allow up to ten days after we receive everything. Records unique to the other co‑parent’s account are produced only with a judge-signed order, a protective order or similar assurances. We do not read, screen or redact records before producing them. Our affidavit is an unsworn declaration under penalty of perjury; if you need it notarized, say so in the subpoena or cover message.
